Approvals from email
As a decision-maker, you can approve, reject or send back a request directly from the approval email, without opening Weissr. Each button in the email opens a short confirmation page with the same options as the Decisions tab, so you can finish a step from your phone.
When you get an approval email
You get the approval email when someone selects you as suggested decision-maker for a step, or changes that selection. The suggested decision-maker is chosen in the Decisions tab, or on the email confirmation page of the step before.
The email has one button for each status available on the step, labelled with the status name, for example Approve, Reject or Send back. Statuses that move the request forward are shown as dark blue buttons. The others are white.
📌 Note: A link in the email is valid for 24 hours by default. After that, the page says "Token has expired" and you make the decision in Weissr instead.
Confirming a decision from email
Click a button in the email. If you are not logged in, Weissr asks you to log in and then opens the confirmation page.
Check the request name and status in the message "Are you sure you want to put request [request] into [status]?"
Fill in the fields that apply to your decision. They are described under Fields on the confirmation page.
Click Confirm. To review the request first, click Go to request.
When the decision is saved, the page says "Operation [status] was successful". Click Go to request to open the request.
💡 Tip: On a phone, hold it upright. In landscape, the top of the confirmation page can be cut off.
Fields on the confirmation page NEW IN 5.3.7
The fields follow the same rules as the change status pop-up in the Decisions tab. Each field only appears when it applies to the status you picked.
Field | When it is shown | How it works |
|---|---|---|
Send back to | When you send a request back and more than one step can be chosen | Required. The default step is preselected. |
Decision Maker | When you move the request forward and the next step allows assigning a decision-maker | Lists the possible decision-makers of the next step with full name and username. Preselected if there is only one candidate or one is already assigned. When you send a request back, the field belongs to the step you send it back to. |
Notified users | When your decision sends a notification and there are users to notify | Preselected in the same way as in Weissr. Search by name or username, or use Select all. |
Comment | All decisions, including Reject and Completed | Optional. Up to 255 characters. Saved as the status comment. |
🔧 Configuration: If your administrator has made the suggested decision-maker required on the step, you must select a decision-maker before you can move the request forward. If the next step has no possible decision-makers, the field stays optional.

When the email is out of date NEW IN 5.3.7
An email button only acts on the step the email was sent for. If that step is already approved, or the request has moved on, nothing is changed. The page says "This step is no longer awaiting your approval. It may have already been approved or moved on." Click Go to request to see where the request is now.
📌 Note: Emails sent before your company upgraded to 5.3.7 do not include this check.
When the decision cannot be made from email
No approval permission: the page shows an error and a Go to Weissr button.
Status not available on the step: the page shows why, with only a Go to request button.
Expired link: the page says "Token has expired". Make the decision in the Decisions tab instead.

Turning on email approvals
An administrator turns on email approvals for the whole environment. Email approvals use the Assigned as decision maker notification, the only notification type with decision buttons.
Go to Admin → Notifications → Notification Types.
Turn on Assigned as decision maker.
Click the pen icon for that notification and select Enable email approval.
Click Save.
🔧 Configuration: Enable email approval is off by default. To use a link lifetime other than 24 hours, contact Weissr support.
